These Terms & Conditions ("Terms") govern access to and use of the CoVision platform ("Service"). CoVision is a service provided by Helix Business Services Limited (company number 11081049).("we", "us", or "our"). By creating an account, purchasing access, or facilitating a workshop, you agree to these Terms.
CoVision provides software for live workshop ideation, AI-assisted asset generation, facilitator controls, optional funding simulations, and report export. Features may evolve; we aim to maintain backward compatibility for active events but do not guarantee uninterrupted availability.
Organisation owners authenticate via magic link and may invite admins, manage billing, and delete events. Admins may create and facilitate events but cannot manage billing or ownership. You are responsible for activity under your account and for ensuring invited admins are authorised by your organisation.
Participants access events without accounts. Facilitators must provide participants with appropriate notice regarding data collection (see our Privacy Policy). You are responsible for lawful use of participant data and for workshop content submitted through your events.
Access may be purchased via Stripe Checkout (single-event or Annual Workshop Plan) or granted through platform-admin voucher codes. Workshop credits are consumed when an event is first opened for participant submissions, as described in product documentation. Prices, taxes, and refund treatment follow the checkout presentation and applicable law; contact us if you believe a charge was made in error.
Current list prices (excluding applicable taxes) are: Single Event at £199 per workshop (one credit); Annual Workshop Plan at £1999 for twelve months (four workshop credits added each billing month, 48 credits in total if all monthly allocations are available). The price payable is confirmed in Stripe Checkout before you complete payment. Neither plan auto-renews.
Single Event and Annual Workshop Plan credits each permit up to 200 participants per event. You must not exceed this limit without our prior written agreement.
Single-event purchases and voucher redemptions grant one or more workshop credits that do not expire until used. The Annual Workshop Plan grants four credits at the start of each billing month (based on your purchase anniversary) for twelve months. The first four credits are granted when payment is confirmed; subsequent monthly credits are added automatically. Unused monthly plan credits expire at the end of each billing month and do not roll over. When multiple credits are available, credits expiring soonest are consumed first.
Opening a draft event for participant submissions consumes one credit. Reopening an event that has already consumed a credit does not consume another. Soft-deleted events do not refund consumed credits. If a payment is refunded or disputed, we may cancel the associated plan and expire any unused plan credits.

We may suspend or terminate access for violations or risks to the platform or other customers.
You retain ownership of content you and your participants submit. You grant us a limited licence to host, process, and display that content solely to provide the Service, including AI generation you request. The CoVision software, branding, and documentation remain our intellectual property.
AI outputs are generated automatically and may be inaccurate, incomplete, or unsuitable for regulated decisions without human review. You are responsible for evaluating outputs before relying on them in business, legal, or safety contexts.
We treat customer event data as confidential and implement access controls accordingly. You are responsible for configuring workshops and sharing reports only with intended recipients.
The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including fitness for a particular purpose and non-infringement, except where prohibited by law.
To the maximum extent permitted by law, our total liability arising from or related to the Service shall not exceed the amounts you paid us for the Service in the twelve months before the claim. We are not liable for indirect, incidental, special, or consequential damages.
You may stop using the Service at any time. We may terminate or suspend access for breach of these Terms. Upon termination, your right to use the Service ends; provisions that by nature should survive will remain in effect.
These Terms are governed by the laws of England and Wales, without regard to conflict-of-law rules. Disputes shall be resolved in the courts of England and Wales, unless mandatory consumer protections require otherwise.
