Terms & Conditions

These Terms & Conditions ("Terms") govern access to and use of the CoVision platform ("Service") operated by CoVision ("we", "us", or "our"). By creating an account, purchasing access, or facilitating a workshop, you agree to these Terms.

1. The Service

CoVision provides software for live workshop ideation, AI-assisted asset generation, facilitator controls, optional funding simulations, and report export. Features may evolve; we aim to maintain backward compatibility for active events but do not guarantee uninterrupted availability.

2. Accounts and roles

Organisation owners authenticate via magic link and may invite admins, manage billing, and delete events. Admins may create and facilitate events but cannot manage billing or ownership. You are responsible for activity under your account and for ensuring invited admins are authorised by your organisation.

3. Participant use

Participants access events without accounts. Facilitators must provide participants with appropriate notice regarding data collection (see our Privacy Policy). You are responsible for lawful use of participant data and for workshop content submitted through your events.

4. Purchases and entitlements

Access may be purchased via Stripe Checkout (single-event or annual unlimited packages) or granted through platform-admin voucher codes. Entitlements are consumed when an event is first opened for participant submissions, as described in product documentation. Prices, taxes, and refund treatment follow the checkout presentation and applicable law; contact us if you believe a charge was made in error.

Current list prices (excluding applicable taxes) are: Single Event access at £199 per workshop; Annual Unlimited access at £999 for a twelve-month period. The price payable is confirmed in Stripe Checkout before you complete payment.

Single Event and Annual Unlimited entitlements each permit up to 200 participants per event. You must not exceed this limit without our prior written agreement.

Annual Unlimited fair use

Annual Unlimited is intended for organisations running workshops and facilitation programmes within normal, good-faith use. It is subject to a fair use policy. We may monitor usage and, where we identify use outside fair use — including but not limited to excessive event volume relative to typical workshop programmes, automated or non-human traffic, attempts to circumvent plan limits, reselling or sublicensing access, or use that threatens platform stability, security, or other customers — we may apply limits on events, participants, AI generation, storage, API usage, or other Service capabilities, or suspend or terminate access.

Where practicable, we will notify the organisation owner before applying sustained limits and provide an opportunity to discuss usage. Nothing in this fair use policy limits our right to act immediately where necessary to protect the Service or other users.

5. Acceptable use

You agree not to:

  • Use the Service for unlawful, harmful, or deceptive purposes
  • Upload content that infringes third-party rights
  • Attempt to bypass security, rate limits, or access controls
  • Reverse engineer or resell the Service except as permitted by law
  • Introduce malware or interfere with platform operation

We may suspend or terminate access for violations or risks to the platform or other customers.

6. Content and intellectual property

You retain ownership of content you and your participants submit. You grant us a limited licence to host, process, and display that content solely to provide the Service, including AI generation you request. The CoVision software, branding, and documentation remain our intellectual property.

7. AI-generated outputs

AI outputs are generated automatically and may be inaccurate, incomplete, or unsuitable for regulated decisions without human review. You are responsible for evaluating outputs before relying on them in business, legal, or safety contexts.

8. Confidentiality

We treat customer event data as confidential and implement access controls accordingly. You are responsible for configuring workshops and sharing reports only with intended recipients.

9. Disclaimer of warranties

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including fitness for a particular purpose and non-infringement, except where prohibited by law.

10. Limitation of liability

To the maximum extent permitted by law, our total liability arising from or related to the Service shall not exceed the amounts you paid us for the Service in the twelve months before the claim. We are not liable for indirect, incidental, special, or consequential damages.

11. Termination

You may stop using the Service at any time. We may terminate or suspend access for breach of these Terms. Upon termination, your right to use the Service ends; provisions that by nature should survive will remain in effect.

12. Governing law

These Terms are governed by the laws applicable in the jurisdiction where CoVision is established, without regard to conflict-of-law rules. Disputes shall be resolved in the courts of that jurisdiction, unless mandatory consumer protections require otherwise.
